Executive Meeting Minutes – January 2013

EC MEETING MINUTES: FEBRUARY 3, 2013
Present: Ralph Rieper, Taina Wilson, Steve Forsey, Martina Brankovsky, Brian McFarlane, Judie Oliver, Heather Bruce

ENROLLMENT
74 Members – 93% Full
Early Group: 35 Registered – Full
Late Group: 33 Registered – 2 spaces
Sunday Group: 6 Registered
One member raised a concern that there was a lack of communication around pool closures over the Christmas holidays. While overseas on vacation, Martina updated both the Gator website and the club’s Facebook page to alert members of the closures. Thank you Martina! This past holiday season was unique with the extended closures at Snow and Jackson pools. While a rare last minute closure can occur, members are reminded to check the Gator website and Facebook for updates.

Swimmers need to meet minimum standards as outlined in our by-laws and for the Saturday Sessions the guide lines are: swim 100 metres continuously and 50 metres in less than 2 minutes.

PRESIDENT’S REPORT
A reminder to all members that all positions will be open on the Executive Committee as of June.   Three of the existing members are interested in staying on for another term in various positions.   Members are encouraged to volunteer on the committee, the roles are: President, Vice President, Swimmer’s Liaison, Secretary, Treasurer.  Please speak to Ralph to find out more about the responsibilities that come with each role and if interested.  An election for the new positions will be held at the Annual General Meeting – suggested date – June 23, 2013.
Provincials are being held in London, Ontario from Thursday, March 28 – Saturday, March 30, 2013.  Steve will be the coach on deck for Friday and Saturday of the meet.
The Burlington meet is on February 10, 2013.  Judie to be on deck, weather permitting.
Website: Kimberly Silk has passed over the work she has done on the site with regards to switching to a different provider.  There are still some questions that need to be answered.  There is a concern that this is quite a big job and that it has gone through many people and that we may need to have a “Web Master” position.
VICE PRESIDENT’S REPORT
Nothing to report.
COACHES REPORT
Coaching plan of a month to month break down from now until June will be emailed to the Executive.
Deck coats: OMNI will sell the coats for $100.00 plus the fee for stitching and an additional $7.00 for the Gators logo.  Steve to send an email out to members with a deadline for payment to finalize this project.
Video Taping: There will be a $10.00 fee to those members who would like to be video taped.  There will be no cost for the club.  There will be a sign up sheet next week for interested people.  Swimmers will need to respect that there will be some movement in the lanes in order to accommodate the taping.
TREASURER’S REPORT
Costs for AY Jackson are going to raise by 15% in September 2013.  Additionally, there will be a new fee coming to Jackson this summer called a Clean Up Fee.  Therefore, our summer fees could potentially go up to $200.00/hour this summer.  Brian will investigate whether Bendale is available for the summer as they are not part of the Toronto Land Corporation list.  Jackson is part of this list and that is why we are facing an increase.
We will be facing a membership fee increase this September due to the permit increase and MSO fee increase.
SWIMMER’S LIAISON REPORT
Our goal is to get 20 participants for the Nutrition seminar, if we fall short, we may have to cancel.  Spread the word to friends and family!

There is a $95.00 registration fee for Provincials.  This high fee is due to the meet landing on a statutory holiday and any paid staff need to be paid time and a half on the Friday.
SECRETARY’S REPORT

Gators Team  Breakfast at the Novotel after Sunday practice on March 3rd at 9:00 a.m.
Please pay Adrianne in advance to ensure you get a seat. Below are some details about the breakfast and the location.

Buffet breakfast (not brunch) at Trio for $ 20.00 including tax and gratuities
We will try our best to accommodate you all in one table or one section area.
Your group can order omelets with the buffet you have
The three choice omelets you have are: Triple Cheese OR Vegetarian OR Cheese & Ham
The buffet includes drinks as well like coffee, tea, juices, chocolate milk and milks
